How to import your Guest List into Table Planner

After carefully crafting your wedding guest list, the last thing you want to do is to re-type it all. Find out how you can easily import and manage your Guest List in Table Planner.

How to import your Guest List into Table Planner

[/vc_column_text][gem_divider margin_top=”20″ margin_bottom=”10″][vc_column_text]Your guest list alongside the seating plan are the two things that could cause the biggest headaches in the wedding planning process. After having carefully crafted your guest list, there are a few ways of importing it into Table Planner, saving you to type it all out from scratch again.

You could import the whole list in one go and start early with your seating plan, using the tag function to mark the guests that have RSVPed and remove those that are not coming. Alternatively, you can add guests individually or import smaller groups as and when your guests RSVP. You can also wait until you have all the RSVPs and import all the guests that are coming in one go.

Whichever way works for you, you will find the Guest List in a column on the left hand side of Table Planner. Upon creating a new event, this list will be empty. It will show you two options: Create Guests or Import Contacts. These are the two ways in which you can populate the Guest List in Table Planner; by adding individual guests or by importing your Guest List.[/vc_column_text][gem_divider margin_top=”20″ margin_bottom=”10″][vc_column_text]

How it works in Table Planner.

Follow these steps to import your guests:

[/vc_column_text][gem_divider margin_top=”10″ margin_bottom=”10″][vc_column_text]Other than creating individual guests in the Guest List, there are two ways you can import your Guest List, saving you to type it all out again: [/vc_column_text][gem_divider margin_top=”10″ margin_bottom=”10″][gem_list type=”star” color=”10″]

  1. Importing contacts from your Address Book or Gmail Contacts.
  2. Drag & Drop guests in from other apps.

Option 1 – Import Contacts from your Address Book or Gmail account

  • Press the ‘Or import contacts’ button at the bottom of the Guest List column.
  • This will open this screen:

Address Book

  • Press on Address Book. This will open a notification window asking for permission to access your Contacts.
  • Press ‘OK’.
  • You will see a list of all your contacts and they have all been pre-selected for you.
  • You can choose to deselect them all or click on a tick to deselect an individual person.
  • Once you have a tick by each person you want to import, select the ‘Import’ button in the top right corner of the Import Contacts Box.
  • Your contacts will now be in the Guest List.

Gmail account

  • Press on Gmail.
  • You will be asked to sign in to your Gmail account.
  • Another permission screen from Google will ask for permission to access your contacts.
  • Press the ‘Allow’ button.
  • You will see a list of all your contacts and they have all been pre-selected for you.
  • You can choose to deselect them all or click on a tick to deselect an individual person.
  • Once you have a tick by each person you want to import, select the ‘Import’ button in the top right corner of the Import Contacts Box.
  • Your contacts will now be in the Guest List.

An alternative way to access the import buttons

[/vc_column_text][gem_divider margin_top=”10″ margin_bottom=”10″][vc_column_text]If you already have guests in your Guest List and don’t want to scroll down to the end, you can opt for the quick access.

To do this:

  • Press on the plus sign at the top right hand of the Contact List.
  • This will bring up the Create new guests box.
  • At the bottom of this box you have the choice to import contacts.
  • Choose the Address Book or Gmail option and follow the steps above.

Option 2 – Drag and drop contacts from other Apps

[/vc_column_text][gem_divider margin_top=”10″ margin_bottom=”10″][vc_column_text]An alternative option to import your Guest List is to open other apps and drag and drop your selected contacts into Table Planner. Apps that work are Contacts, Notes, Excel and Numbers.

To do this:[/vc_column_text][gem_divider margin_top=”10″ margin_bottom=”10″][gem_list type=”star” color=”10″]

  • Pull up the dock with your apps by simply swiping up from the lower edge of your iPad.
  • Choose the app you want to open, eg. Numbers, Excel, Contacts or Notes.
  • If your chosen app isn’t in the dock, simply open the app and return to Table Planner. Your chosen app should now be visible in the dock.
  • Press and drag your chosen app to the right or left hand side until you see a black column forming on the side. You can then drop the app there.
  • You will have a split screen where you can see your chosen app in the smaller field and Table Planner in the bigger field.
  • If you want your app field to be larger or smaller, you can do this by dragging the grey line in the middle of black line between the apps to your desired size.

Numbers and Excel

  • In Numbers or Excel, select the guests you want to import.
  • Then drag the selection to your Guest List column.
  • An ‘Import Contacts’ screen will appear where the selected names from your Guest List will be listed. Deselect anyone you don’t want to import.
  • Press on the ‘Import’ button in the top right corner to import your contacts.

Contacts and Notes

  • From your Contacts or Notes app, you can now drag and drop individual guests into your Guest List.
  • Select a contact until they are highlighted and drag him or her to the guest list.
  • You can also select more than one guest by selecting your first contact and dragging him or her slightly out of the app box, then tapping on additional contacts you want to add.
  • You will see a card with a number in a blue circle. This is to let you know how many contacts you have included.
  • Drag these to the contact list.
  • To close the second app, simply drag on the grey line towards the edge and Table Planner will be in full screen again.

Add Individual Guests

[/vc_column_text][gem_divider margin_top=”10″ margin_bottom=”10″][vc_column_text]You may want to add guests one by one into your Guest List as you receive the RSVPs, or have some last minute additions.

To add individual Guests;[/vc_column_text][gem_divider margin_top=”10″ margin_bottom=”10″][gem_list type=”star” color=”10″]

  • Press on the ‘Create guests’ button.
  • This will open a ‘Create New Guest’ box.
  • Fill in the name of your Guest.
  • You can also add a Tag to your guest by either using one of the suggested tags or create your own in the space where it says ‘Add tag’.
  • Press ‘Save’ in the top right corner of the box to save your Guest
  • You will now see your Guest in the Guest List Column.
  • When you have allocated a Guest a table, this will also be reflected in this column.

[/gem_list][gem_divider margin_top=”20″ margin_bottom=”20″][vc_column_text]Once the Guest List is populated, you can also add individual guests by pressing the + symbol on the top right of the Guest List. This will also allow you to import guests if you prefer.

How to remove a guest

  • Find the Guest you want to delete.
  • Swipe left on their name until a red ‘Delete’ button appears.
  • Press the ‘Delete’ button.
  • A pop-up screen with ‘Are you sure?’ will appear.
  • Here you can Cancel or Confirm your deletion.
  • If you choose to delete the guest, he or she will be removed from your Guest List.

Open and close the Guest List

  • Find this symbol Arrow towards the left and two vertical lines to symbolise the closure of a column in Table Planner. in the top left corner of the column, above the title Guests.
  • Press this symbol Arrow towards the left and two vertical lines to symbolise the closure of a column in Table Planner. to close the Guest List.
  • Press this symbol Three horizontal lines to represent a list in Table Planner. to open the Guest List.
